  • Handle all human resources compliance requirements in collaboration with specialists.

  • Manage insurance policies.

  • Coordinate the upkeep of physical and digital archives.

  • Maintain the integrity and accuracy of internal information with proper record-keeping systems.

  • Regularly review and ensure the accuracy of all documents circulated publicly: bios, press packets, online materials etc..

  • Assist in building and maintaining Client’s archives, including digitalization, inventory management, and establishment of archive protocols.

Strategy

  • Advise on pricing and edition numbers of products and commissions.

  • Regularly reassess the pricing of products and fees, taking into account market trends and client status.

  • Advise on all income related matters including participation in fairs and exhibitions, consignments, third party commissions, discounts, payments timeline, donations, and more.

  • Advise on and support the maintenance of a cohesive and strong activity.


Financial

  • Develop a comprehensive global financial strategy aligned with client’s goals.

  • Ensure thorough and consistent management of a portfolio of assets - artistic, financial, real estate, etc. - for long-term sustainability.

  • Assess and optimize costs and processes across professional and personal activities.

  • Oversee all financial aspects of client’s activity, including:
    - Preparation and evaluation of year-end financial statements and annual budgets to maximize long-term sustainability;

    - Draft and review of financial reports such as cash flow statements, profit and loss statements, and balance sheets;

    - Analysis of income by product category, country, etc., to optimize revenue.

    - Management of accounts payable and receivable ;

    - Prepare and present financial reports for board meetings and committee meetings of non-profit organizations.

  • Supervise bookkeeping and tax returns, collaborating with accountants and tax lawyers.

  • Collaborate with accountants and tax lawyers to develop and maintain a cohesive global tax strategy, optimizing the tax situation effectively.

  • Supervise and review annual audits for non-profit organizations.

  • Maintain individual donor, government, foundation and corporate records and track grants calendar.

  • Provide administrative and fundraising support for large-scale fundraising initiatives.


Legal

  • Manage all legal aspects of client’s activities in collaboration with appropriate attorneys, including:
    - Negotiation and review of all legal documents with third parties, employees, independent contractors, permitting agencies etc.;

    - Securing reproduction rights and copyright permissions;

    - Negotiation of client’s copyright granted to third parties;

    - Ensuring compliance by all contracting parties with the terms of any agreements executed.

  • Research and establish legal entities as needed.

  • Provide guidance on immigration inquiries and residencies tailored to client’s professional and personal circumstances;

  • Coordinate travel visas and work permits as required across multiple countries.

  • Collaborate with proficient tax specialists on fiscal matters related to dual residency.

  • Advise and assist in planning the client’s legacy, including estate management, will drafting, donations, and foundation establishment.

    We oversee all backstage activities, ensuring that everything runs smoothly behind the scenes. This includes coordinating with backstage crew, ensuring props and equipment are in place, and managing any last-minute adjustments or emergencies.

  • Liaison between director, staff, speakers, and contractors:

    We act as the central point of contact between the director, production staff, speakers, and independent contractors. This role involves effective communication and coordination to ensure everyone is aligned with the event's objectives and schedule.

  • Logistical coordination:

    Handling all logistical aspects, including transportation arrangements for participants and equipment, organizing accommodations for speakers and crew, and managing the movement of props and materials between locations.

  • Ensuring smooth execution:

    We meticulously coordinate and call cues for lighting changes, sound cues, and set changes during performances or events. This involves precise timing and coordination to maintain the flow and atmosphere of the event.

    We are responsible for the overall execution of the event or project launch, ensuring that all elements come together seamlessly. This includes troubleshooting any issues that arise during rehearsals or performances and making real-time decisions to maintain the quality and integrity of the production.

  • Quality control:

    We maintain rigorous quality control standards throughout the production process, from rehearsals to the final performance or event. This involves overseeing the technical aspects, ensuring all equipment is functioning correctly, and addressing any issues promptly.

  • Team supervision:

    We supervise the production team and allocate tasks based on project timelines and budget constraints. This includes managing schedules, assigning responsibilities, and providing guidance and support to ensure team members perform at their best.

  • Comprehensive event management:

    Overall, our role encompasses comprehensive event management, from initial planning stages through to post-event evaluation. We focus on delivering a memorable and impactful experience for all participants while adhering to budgetary and logistical constraints.
